What this build does
A small studio’s unbillable hours hide in four places: walking every new client through the same onboarding, not knowing when a proposal was actually read, invoicing late because everyone was busy shipping, and writing the Friday status update from memory. This build removes all four.
The flow, step by step
- A proposal goes out through a tracked link. The moment the client opens it, the founders get a Slack ping, so the follow-up call happens while interest is hot, not three days later.
- The client signs, and the onboarding sequence starts itself: welcome email, a short intake form, a contract copy, an invoice for the deposit, and a kickoff scheduling link, spaced over two days so it never feels like a dump.
- The intake form answers land in the project’s Notion page before the kickoff call, formatted and tagged.
- Recurring invoices generate themselves on the agreed schedule. Unpaid ones get a polite chase on day 5 and a firmer one on day 12, in the studio’s voice.
- Every Friday at 4pm, a project digest compiles from Notion: what shipped, what’s blocked, what’s next, per client. The founders edit two sentences instead of writing two pages.

- Slack for proposal-opened pings and internal alerts
- Notion API feeding intake data in and pulling the weekly digest out
- Stripe or Paystack invoicing with webhook-driven chase-up logic
- Email through the studio’s own domain, so every automated message reads like a founder wrote it
