What this build does
A two-person cleaning crew loses money in three places: clients who book and forget, invoices that go out late or never, and happy customers who are never asked for a review. This build closes all three gaps with one workflow, and the owner’s only job is marking a job done.
The flow, step by step
- A booking lands from the website form, a WhatsApp message, or a phone call typed into a shared sheet.
- The client gets an instant confirmation on WhatsApp with the date, time, price, and what to expect. The slot is blocked on the crew’s shared Google Calendar at the same moment.
- 24 hours before the job, a reminder goes out with a one-tap reschedule link. Reschedules rebook themselves; the calendar updates without anyone touching it.
- The crew marks the job done with a single tap. That’s the only manual step in the whole system.
- The invoice sends itself within a minute of the job closing, with a payment link attached.
- Unpaid invoices get chased politely on day 3 and day 7, in the owner’s tone, without the owner remembering anything.
- Paid invoices trigger a review request two days later, when the clean is still fresh and the goodwill is highest.
What’s in the box
- n8n, self-hosted on a small VPS, running the entire flow with logging, retries, and error alerts to the owner’s phone
- WhatsApp Business API for confirmations, reminders, chase-ups, and review requests
- Google Calendar as the single source of truth for the crew’s day
- Paystack payment links generated per invoice, with payment webhooks closing the loop
- A Google Sheet as the CRM, because a two-person crew does not need Salesforce
Why this matters
